All centres that are invited or hosting a meet will now have access to review and manage the meet from the Nomination Invites screen. Further details below:
Event menu dropdown > Calendar > Nomination Invites > Action dropdown > View/Edit & Accept
Review & Add Fees
All nomination settings defined by the host are now visible to the invited centres. If the host has set attendance, performance and/or event caps for pre-selection, these will be listed. The invited centre now has the ability to add their own event fees, meet fees and family charges. These invited centre fees will be charged as well as any host fees. Any caps set on either the host or the invited fees, will only apply to the fee items for their centres.
Approve the Invite
The invited centre has the ability to set a cutoff date for their families. This is independent of the host cutoff date, and can only be before the host cutoff, or meet date. Setting Access to “Centre and Family” will allow nominations to be performed by families, whereas “Centre Only” will appear to be Closed to families, but nominations can still be managed by the invited centre.
Note: Families will not be notified upon approval. Family notification is to be performed through the View > Review Member Invitations dropdown. The Review Member Invitations view will only display all eligible members based on the host centres requirements for the nomination events. The family notification can only be sent once per nomination.
8.3 Manage the Nominations
A list of events for nomination is available through View > Nominations. The initial page gives an overview of the number of nominated members by status, as well as any event caps, if set up. Clicking through to Manage for an event will give a more detailed list with member details, as well as their best result for the event type.
Nominated members include those who are visible for acceptance at the host centre, those who have selected to pay cash, and those who have had pre-selections accepted and are waiting to be paid. A status of Pending will be assigned to the cash and pre-selection accepted members, while a status of Nominated or Accepted indicates that they are visible to the host for management.
Pre-selection members only include those who selected the pre-selection events during the nominations process. This can only be achieved if there is an event cap set for the event. To accept these members, select them by clicking the checkbox, and click Submit. You will then be able to review the final list, and you must click Save and OK to confirm the selection. Pre-selections will have nominations records created for their relevant families, which will then be available in Status Manager for payment. Multiple pre-selections and nominations from eligible members of the same family will be added to the same open nomination record*.
Eligible members are any members in the invited centre that meet the criteria for the event, based on the nomination setup options. Similar to the pre-selection process, athletes must be selected, confirmed and saved. They will have nomination records created, which will then need to be processed through Status Manager. If there are no fees associated with the nominations, eligible members will be processed through to the host centre immediately.
*An open nomination record is a record for the family/nomination where the status is complete and unpaid. This could be from pre-selections, eligible member nominations or a complete, cash nomination from the family nomination process which has not
