Trialist Rules: Syncing from Sport80

🏃 What is a Trialist in ResultsHQ?

An athlete synced from Sport80 with a trialist flag can record results in ResultsHQ for up to two meets without the State being charged the full ResultsHQ fee.

‼️ The athlete will only be recognised as a trialist if the trialist flag is applied on their first sync.

💲How Billing Works

🧾 Converting to a Full Member

If a trialist signs up fully, Sport80 should:

• Remove the trialist flag
• Use the same email address as the trial record
• Ensure records are linked so results remain connected

ℹ️ Duplicate Profiles / Missing Results in ResultsHQ

If athlete results are missing in ResultsHQ, it is often due to duplicate profiles caused by the athlete not being linked correctly in Sport80.

Next steps:

• First link the athlete in Sport80 (otherwise future syncs may break the merge)
• Then contact support@timingsolutions.com.au with:
  • Full name
  • DOB
  • Email address (clearly indicate primary email)
    → for manual merging

💡 Billing Trigger

Billing begins when either:

• The athlete syncs as a full member, or
• They compete in their 3rd meet

⚠️ Important

• Trialist flag must be set on the first sync only (cannot be applied retrospectively)
• ResultsHQ tracks all activity - deleting results will not remove charges
• Always verify athlete data before syncing

📊 State Reporting

• Active trialists appear in a separate worksheet in the ResultsHQ export within the State Dashboard
• Once they:
  • Compete in 3+ meets, or
  • Become full members
    ➜ They move into the main athlete totals worksheets
