This function facilitates a process for a preliminary record approval within the app on meet day. Do note this is only preliminary and final record approval still has to be done on the web in centre admin to change the previous centre record.
4.1 Entering a Centre Record
- Centre Records are entered via the usual results entry function.
- Enter a result for an athlete in an event and if that result surpasses the current Centre record then it will trigger a popup indicating this where you will have to select from a list of approvers.
- Do note for a centre record popup to trigger that particular event has to already have a Centre Record set up for it via centre admin on the web. Refer here "Centre Records" for more info on that Centre Records.
-
The list of approvers can be:
- Any centre super user from the current centre.
- Any CR Approval user from the current centre.
- You cannot proceed further without selecting an approver or amending the result so that it does not surpass the current Centre record.
4.2 Approving a New Centre Record Entry
- The person selected as an approver would have received a push notification to their phone if they were logged into the app.
- To approve the record they need to go into the Record Approvals tile where the details of the record would show up.
-
They can now validate the following details:
- Athlete’s name and ID.
- Event type, age and gender.
- Meet name, date and record time.
- Athlete’s result and current record of the event.
- If everything is in order, select the Approve option.
- This will trigger a popup showing the summary of the record and allow to enter optional additional comments.
- The record is preliminarily approved and can be confirmed on centre admin afterwards (Centre admin does allow to confirm the final record even without preliminary approval on the app).
- You can view records you approved by clicking on the Records Approval Tile and clicking on the Record History button at the bottom.
4.3 Rejecting a New Centre Record Entry
- If the record does not appear to be valid such as an incorrect measurement or a disqualification then you may need to reject the record.
- Rejecting a record is done in the same screen as approval.
- Go into the record approval tile and select “Reject” on the record you want to reject.
- This will trigger a popup where you have to fill a mandatory comment as this is a rejection. You will also have to input the correct value of the result or disqualify the athlete.
- Once you fill this in and click “Save” the record is now rejected and the athlete will now have the corrected value of the result.
- You can view records you rejected by clicking on the Records Approval Tile and clicking on the Record History button at the bottom and clicking on the “Rejected” tab.
- When rejecting if you enter a corrected value which is still a record then it will notify you with a popup indicating that it is still a record and will ask you if you want to proceed. If you select No, it will not allow you to proceed until you enter a value that is not a record. If you select Yes, it will now confirm the amended value as the preliminary record.
- This recorded record will now show up in the approved tab of the Record History section.
- It will also reflect the corrected value of the result in the athlete’s results view,
4.4 Change Approver
- If a Record has not yet been approved on the app and you want to change the approver you first need to go into the meet and select the Trophy Icon on the top right.
- Select the Record you want to change the approver for and click on “Change Approver”.
- Now select the new approver and click “Save” to change the approver.
4.5 Final Approval on Centre Admin
- Final Approval of a record is always done on centre admin and the approval on the app only serves as a preliminary approval so that it provides assurance for the centre admin to do the final approval on the web.
- This can be done by logging into Centre admin on the web and selecting the corresponding meet at the bottom of the home page where the recent meets are populated.
- Now click on Potential Records and it will populate the list of potential records for this meet.
- You can also view all the details of the potential record including who approved on the mobile app and what is the status. This will also show any comments entered during approval.
- Now click on the “Make CR” button and confirm the popup to finally convert this potential record to the current record.
