- Managing Member Sync
- Centre Checklist - Before a Centre Performs Its First Member Sync
Â
Preparing for a new season involves Two Separate Actions:
- Roll ResultsHQ over to the new season.
- Enable member synchronisation with your registration platform.
These actions are independent and can be completed at different times.
Â
Â
đź“…When Should the New Season Be Enabled?
Standard Rollovers (Season Within 12 Months)
We recommend enabling the new season in ResultsHQ when registrations open in your State.
Centres can roll over earlier to prepare meets or complete their setup, provided member sync is managed correctly.
Â
Early Rollovers or Seasons Longer Than 12 Months
If a Centre needs to roll over before registrations open, or your season spans more than 12 months, we recommend a staged rollout.
Process
- Disable member synchronisations for all Centres from the State Portal (see đź”—Managing Member Sync below).
- Contact Timing Solutions (via Support@timingsolutions.com.au) to enable the new season in ResultsHQ, informing us that the Centre Syncs have been disabled.Â
- Centres can then complete their rollover at any time.
- Re-enable member syncs for each Centre when it is ready to begin the new season OR, if required, allow some centres to continue synchronising athletes for the current season.
ℹ️ Important
This process reduces the risk of members being synchronised into the wrong season, but it is not completely fail-safe where Centres are operating across different seasons.
States should monitor which Centres have rolled over and remind Centres still operating in the current season not to roll over and sync into the new season.
If members are accidentally synchronised into the wrong season, the data cannot be corrected, and the Centre will have incorrect member data for the remainder of the season.
⚠️Sport80
Before re-enabling a sync for a Centre, ensure all athletes from that Centre have been expired from the current season in Sport80.
Â
đź”—Managing Member Sync
The State Portal allows States to control when Centres can synchronise members.
States can temporarily disable syncs until Centres are ready to receive new season registrations. Syncs can then be enabled on a Centre-by-Centre basis.
This allows Centres to roll over early while reducing the risk of members being synchronised into the wrong season.
Timing Solutions can also:
- Disable member synchronisation for all Centres at once.
- Enable or disable all member syncs at once on a specified date.
To arrange either option, contact support@timingsolutions.com.au.
Important: Centres are responsible for ensuring they are synchronising to the correct season.
Â
âś…Centre Checklist (Before a Centre Performs Its First Member Sync)
Before synchronising members for the first time, confirm that:
âś” ResultsHQ Has Been Rolled Over
Complete the ResultsHQ season rollover.
If not: New season registrations may be imported into the previous season.
âś” Your Registration Platform Is in the New Season
Confirm the Centre is operating in the new season within its registration platform (for example, RevSport or Sport80).
If not: Members from the previous season may be imported into the new season in ResultsHQ.
âś” Registrations Have Opened
Wait until the Centre has started receiving new season registrations before performing its first member synchronisation.
This helps ensure members are synchronised into the correct season.
