ResultsHQ Overview & Sync Instructions
The RevSport Member Sync allows athletes registered in RevSport to sync with ResultsHQ, where their results are managed.
- In ResultsHQ, a family is identified by their email address and includes their athletes. Each athlete is linked to the centres they compete in. Families can have primary, secondary, and emergency contacts.
- Athletes may compete in multiple centres during their lifetime or season. Each centre can manage certain details like membership number and club. Athletes are usually identified by a combination of family ID, member ID and family email, otherwise it will be their first name, last name, and date of birth.
- A centre can only manage an athlete's or family's information (such as email, contact info, names, date of birth etc) if they are directly linked to that centre.

Before the Sync
1. Update Your ResultsHQ Centre:
Make sure your ResultsHQ centre is rolled over to the latest season. Check the guide here for help Season Rollover - Getting ready for a new season.

2. Email Requirement:
All members from RevSport must have an email address. This is used to match them with their family in ResultsHQ. Members without an email won’t be included in the sync.

3. Check Member Details:
Ensure members have the correct First Name, Last Name, Date of Birth (DOB), and Gender for the first sync. Errors can cause duplicates. After the first sync, any changes will update automatically in ResultsHQ.

4. Add Bib Number field in RevSport:
Please ensure your Centre has added an additional Bib Number field in RevSport.
Once this has been added, review your members' Bib Numbers in RevSport to ensure they are accurate before syncing with ResultsHQ. These numbers will then carry across to ResultsHQ automatically.

5. Paid Status & Payment Class:
Only members with a paid status and a valid payment class in RevSport will be imported. A valid payment class is one set up in RevSport and requires a specified minimum and maximum age. If the payment class isn’t set up correctly, the member will be ignored. Verify by going to: finance > payment classes > edit > Minimum age and Maximum age.

5 (a) Trialists etc
As per State Advice - Trialists should not sync to ResultsHQ
NOTE: To ensure Volunteers, Administrators & Trialists DO NOT SYNC, simply
DO NOT include a minimum and maximum age in the payment class.Â

5 (b) Tiny TotsÂ
As per State Advice - Tiny Tots do not sync to ResultsHQ for LANSW or Athletics West

6. Setting up "Clubs" (under Centres - Optional)Â
Requires the Centre to initially set up a Club in RevSport.Â
       - RevSport has advised that this can be done by following the steps below:
       - Account (cog icon in the top right) > Clubs > Add Clubs
📌 For any queries about setting up a club, please contact your Little Athletics Office or RevSport.Â
Once the clubs are added, the sync will then bring the Club information into ResultsHQ.Â

7. Import Criteria:
Eligible members will be active in ResultsHQ. Unpaid or invoiced members won’t be imported and will be marked inactive if they were previously active, this could be due to a transfer or refund.

How to Sync
1. Access the Sync:
If your centre is set up through RevSport, you’ll see a "Member Sync" button in your ResultsHQ portal.
2. Login:
Go to https://centreadmin.resultshq.com.au/ and log in.
3. Start the Sync:
   - Go to “Members” and click “Member Sync.”
   - Enter the email for sync confirmation.
    - Click “Start Import Process” and confirm to begin the sync.

4. Receive Confirmation:
You’ll get an email confirming the sync with a brief summary.

FAQ’s
Members Not Syncing from RevSport to ResultsHQ
Please pay close attention to the “Before the Sync” section in this support article. Key things to check:
- The email address is provided
- All required member details (as outlined in the article) are accurate and complete in RevSport
- Your Centre has added a Bib No. field in RevSport
- The member has a PAID status with a valid payment class, which must include both a minimum and maximum age
Once you’ve confirmed ALL of the above, please attempt the sync again.

If you’ve followed all the steps and are still unable to sync the athlete into ResultsHQ, please send ALL the following details through to support@timingsolutions.com.au so we can investigate further:
- Full Name
- Date of Birth
- Centre
- State
- Status details (e.g. Paid?)Â
- What minimum & maximum age groups have been set for your CentreÂ
Changing Family Account Email Address During a Season:
- To successfully update your family email address, it’s essential that the change is madein the Registration platform (RevSport).Â
To ensure the change flows through properly:
Step 1: Â Correctly update the Email Address in the Registration Platform.Â
- (Note - Timing Solutions cannot assist with this step as they are not the Registration provider)Â
Step 2: Â Request a Sync
Ask your Centre (or State) to perform a member sync - This will ​u​pdate the family email address in ResultsHQ.Â

Step 3: Â Accessing Your ResultsHQ Account
If you’ve previously logged into ResultsHQ:
- Your user account is already established, and changing your email in RevSport will not update your ResultsHQ login details.
- You’ll need to log in to ResultsHQ using your old credentials and manually update your login email under your account settings.
OR
If you’ve never logged into ResultsHQ before:
- Go to resultshq.com.au
- Click on "Trouble logging in?"
- Enter the new email address you updated in RevSport
- You will receive an email with a link to reset your credentials
- Once reset, return to resultshq.com.au and log in using your new details

What "Member Data" comes from RevSport as part of the sync?

New and Returning Athletes Report Issues / Duplicate Family Profiles:
Issue:
Some returning families are unable to access their past results. This is typically due to the family registering using a new or different email address than in previous seasons, which results in duplicate family profiles being created.
Impact:
- Returning athletes may be incorrectly marked as new.
- Duplicate emails affect the accuracy of reporting for new vs. returning athletes.
Action Required:
Centres and/or families should review their member lists and request manual merging of duplicate accounts by contacting support@timingsolutions.com.au.
Please include the following information in the request:
- Full names of the affected members
- Dates of birth
- Both email addresses (clearly indicate which should be set as the primary)
Note:
Timing Solutions and RevSport are currently working together to resolve this issue, with the aim of having a permanent solution in place by the start of the 2025/26 summer season.

Extending Age Groups / Seniors (Adding 20s):
The extended age groups have already been set up at the State level. Once someone from the new age group registers and is synced to ResultsHQ, the age group will automatically appear in the system.
Please ensure that for all athletes to sync correctly from RevSport, their payment class must have both a Min and Max age defined in RevSport. If any athletes are not synced into the correct age groups after verifying their data, feel free to reach out, and we’ll investigate further.Â
Different Age Groups than Those Set by the State
Option 1: Age groups are set at the State level, so you’ll need to contact the State office to make changes.
Option 2: If the Centre sets different age groups, the sync won’t overwrite them. However, existing athletes will revert to the State’s age groups if any updates (e.g., DOB changes) are made. New athletes will automatically be mapped to the State’s age groups, requiring manual adjustments by the Centre. The Registration Platform (RevSport) and the State’s settings are typically the source of truth.
Suggested Action: Use Option 1 to ensure correct age group setups and reduce the risk of mismatches.

Incorrect Bib Numbers After Sync:
If any RevSport registration centres encounter incorrect Bib Numbers after syncing, please first verify that the Bib Number field has been correctly added in the RevSport platform and that the Bib Numbers are accurate. Once confirmed, performing another sync should resolve the issue.
Please note: If this field has not been added, any new members synced will have their Bib Number automatically populated with their RevSport System ID. This will be overwritten once the Bib Number field is properly added and populated with the correct values.

Athletes in Younger Age Groups than Expected:
The likely cause is that the Centre has not rolled over to the new season yet. Ensure that the Centre has completed the season rollover first, which should resolve the age group discrepancy.
