Athlete & Family Structure in ResultsHQ

Sync Flow Diagram
Note: Prior to syncing, the LAQ State Office needs to complete a step on their end to enable Centres to sync. Once this is done, you should be able to proceed with the sync by following the instructions provided in the support topic.
Preparing for the Sync
1. Update Your ResultsHQ Centre:
-
IMPORTANT: Ensure that your ResultsHQ Centre has been rolled over prior to your first sync.
-
Refer to the: Season Rollover - Getting ready for a new season – Timing Solutions Support Forum for assistance.
2. Email Requirement
-
All members in Sport80 must have a valid email address.
-
This email is part of what is used to match them with their family in ResultsHQ.
-
Members without an email will not be included in the sync.
- In some instances, athletes have not synced due to their email addresses not being passed through the API/integration. This is a known issue with Sport80 and is currently under investigation. For further information, please contact your State Office.
3. Check Member Details
-
Ensure that First Name, Last Name, Email, Phone Number, Athlete/Bib number, Date of Birth (DOB), and Gender are correct before the first sync.
-
If an athlete was listed as “Stephen” in ResultsHQ last season but is now registered as “Steve” in Sport80, the sync will update the name to “Steve” in ResultsHQ.
-
Incorrect details can cause duplicate accounts.
4. Import Criteria
-
Only valid members will be synced as active athletes in ResultsHQ.
-
Suspended members will be made history if:
-
They have been transferred or refunded.
-
Completed a Trial.
-
They failed to show Proof of Age and their Sport80 account was suspended.
-
Please Note: Timing Solutions are unable to see any details around why members are made history - for any questions, please contact your Little Athletics State Office.

FAQs
Incorrect Member information (e.g. Bib Numbers) After Sync:
-
If any Centres encounter incorrect details after syncing, please verify the details are correct in the Sport80 Platform.
-
Once confirmed, performing another sync should resolve the issue.
- If details are correct and the member is valid / active in the Sport80 platform, and the information is still incorrect, please email us at support@timingsolutions.com.au.
Athletes in Younger Age Groups than Expected:
-
The likely cause is that the Centre has not yet rolled over to the new season.
-
Ensure that the Centre has completed the season rollover first, which should resolve the age group discrepancy.
Athlete & Family Structure in ResultsHQ
-
A family is identified by their email address and includes their registered athletes.
-
Each athlete is linked to the Centres where they compete.
-
Families can have primary, secondary, and emergency contacts.
-
Athletes may compete in multiple Centres during their lifetime or season.
-
Centres manage details such as membership numbers and club affiliations.
-
Athletes are identified by a combination of Family ID, Member ID, and Family Email. If these are unavailable, identification is based on First Name, Last Name, and Date of Birth.
-
Centres can manage an athlete’s or family’s details (e.g., email, contact information, names, date of birth) only if they are directly linked to that Centre.
-
Only valid and active members will sync from Sport80 to ResultsHQ.
