1. Introduction
The Meet Calendar and Manage Meet screens have been redesigned to make managing your meets faster and more efficient. All existing functionality remains available, but the updated experience brings related tasks together on fewer screens, introduces clearer layouts, and provides better visibility across your meets.
This guide is intended for Centre Administrators and anyone responsible for managing meets in ResultsHQ.

When you're ready, click Try New to switch to the redesigned experience. You can return to the Classic view at any time. Both options are available under Meet Management in the top navigation menu.

3. Feature Explanations
3.1 Switching to the new version
You can move between the classic and new screens whenever you like, using a button on each version — so you can try the redesign with no commitment and switch back at any time.
- Try new view — on the classic screens, takes you to the revamped version.
- Classic view — on the new screens, switches you straight back.
- Remembered — your choice is saved, so the version you picked loads again next time.
3.2 The Meet Calendar
The Meet Calendar is your starting point for everything to do with meets. All of your meets sit in one card with a single toolbar across the top, split across Internal and External tabs, so you can search, filter by season, and jump into any meet from one screen.
- Toolbar — a search box, a Season filter, a Settings menu, a Nomination Invites button (with a badge showing pending invites), and + Add New for creating a meet.
- Settings menu — gathers the meet-wide tools together: Combine Meets, Global Lane Setup, Location / Weight / Measure, Meet Manager Options, and Results Import.
- Internal / External tabs — meets are split across two tabs, each showing its own count.
- Footer line — tells you how many meets are showing and how many there are in total for the season.
- Season banner — confirms which season you're working in, with a link to Season Rollover if you need to move into a new one.
- Meet rows — each shows its date, name, and program, with action icons on the right: view, nominations, send invites, edit, reports, and delete. Click the view button to open the meet in Manage Meet.
- External meets — each row instead offers a view action and an Include / Exclude Meet Results toggle, so you can control whether that meet's results are pulled into your centre.
- Today / Up Next — a green TODAY badge marks any meet on today and a blue UP NEXT badge marks the next upcoming meet; the screen scrolls straight to the highlight, and the toolbar stays fixed as you scroll.
3.3 Editing a meet’s details
A single window lets you update a meet's core details, reachable from either the calendar or the Manage Meet screen, with changes applied everywhere the meet appears.
- What you can edit — a meet's name, program, and date.
- Where to open it — the pencil icon on a calendar row, or the Edit Details button next to the meet title on the Manage Meet screen.
- Where changes apply — everywhere that meet is shown.
3.4 The Manage Meet layout
Opening a meet brings you to the Manage Meet screen, where the Events Table takes the full screen and meet settings open in a pop-up only when you need them.
- Events Table — fills the main screen.
- Meet Options — opens in a pop-up form when you need it.
- Meet header — holds Back to Calendar, Add More Events, Delete, and Meet Options.
3.5 The Add Event panel and event picker
Adding events now happens right on the Manage Meet screen, there's no separate Add Event page, using an inline panel and the same event picker as Create Meet.
- Inline panel — the Add More Events button opens a panel below the Events Table to choose genders, age groups, and events.
- Advanced Settings — optional heat and division settings within the panel.
- Pre-filled — selections are pre-filled from events already on the meet, which are shown as soon as the panel opens.
- Event picker — narrow events by discipline (Track & Field, Swimming, MultiSport, Schools, Surf Life), then category, then subcategory; click chips to select or deselect.
- Filters keep selections — changing the filters only changes what's visible; anything already selected stays selected.
- Missing an event? — a Go to Event Maintenance link lets you add it and come back.
3.6 The Events Table
The Events Table is where you view and manage every event on a meet, with a top bar of actions and a choice of list or matrix views.
- Top bar — shows event and nomination counts, plus actions for editing, deleting, choosing columns, and switching views.
- Row actions — each row's Actions column has icons to open reports, manage nominations, edit, set timing and draws, reorder, and delete.
- Filters — in list view, a filter row narrows events by Event, Age, and Gender, with a Clear filters link to reset.
- Matrix view — lays events out across age (columns) and gender (rows); click an event to edit or delete it.
Alongside the existing columns, the redesign adds three new ones you can switch on:

The Event name and Actions columns are always shown. Your column choices are remembered in your browser for next time.
3.7 Editing events, individually and in bulk
You can edit one event or many at once from the same window, click into a single event, or select several and apply one change across all of them.
- Single event — click any cell in a row (or its pencil icon) to open the Edit event details window, pre-filled with that event's values: Information, Location, Start Time, Duration, Heat, Division, and Order.
- Advanced Settings — lane, draft, and IAAF settings within the window.
- Bulk edit — select two or more events and choose Edit Event Details to apply one change across all of them at once.
3.8 The Meet Options panel
Meet settings now open in a pop up form in the Manage Meet screen, so you can adjust them while keeping the Events Table in view. When the pop up is open, the + Add More Events button is hidden; it returns as soon as you close the pop up. The settings are grouped into sections:

General Settings and Results & Entries are open by default; the rest stay collapsed until you click their headers. A Save button at the bottom applies your changes.
3.9 Past (read-only) seasons
Selecting a historical season puts the whole Meet Management area into read-only mode, so you can browse and export past data without any risk of changing it.
- How you know — a grey banner and a READ-ONLY label make the state obvious, and the Today / Up Next highlights switch off.
- Clean view — buttons that wouldn't do anything useful in a past season are hidden rather than greyed out, leaving only the controls that still work: view, reports, and export.
- Meet Options — still opens for viewing, with export available, but its settings are locked and there's no Save button.
4. Step-by-Step Guidance
4.1 Switching to the new version
Move between the two versions using the on-screen buttons.
- Go to Meet Management › Calendar
- There will be a button called “Try New View” if you want to switch to the new version from the classic version.
- And a button called “Classic View” is shown when your in the new version and wanting to switch to the old version.
4.2 Searching and filtering meets
Find a meet quickly using search, the season filter, and the meet tabs.
- Type in the search box to filter the list by meet name, program, or date.
- Use the Season button to switch between seasons.
- Switch between the Internal Meets and External Meets tabs to change which list you see.
4.3 Editing a meet’s details
Update a meet’s name, program, or date.
- Open the Edit meet details window from the calendar row pencil icon or the Edit Details button on the Manage Meet screen.
- Update the meet name (required), and the program, date, or description as needed.
- Click Save changes.
4.4 Adding events to a meet
Add events to a meet directly from the Manage Meet screen.
- Click + Add More Events in the meet header. The panel opens below the Events Table.
- Choose one or more genders and age groups.
- Use the event picker to select the events you want.
If the event you need isn’t listed, use the Go to Event Maintenance link below the picker to add it to your centre’s event list, then return and select it.
- Open Advanced Settings if you need to set heats or divisions.
- If your meet uses mixed-gender events, tick the I’m using mixed genders checkbox.
- Click + Add Event.
ResultsHQ creates a row for every combination of the events, ages, genders, and divisions you chose, adds them to the table, and closes the panel with a confirmation.
4.5 Choosing which columns to show
Show or hide the columns you want in the Events Table.
- Click Columns in the top bar of the Events Table.
- Tick the columns you want to see, including Location, Division, and Results Entered.
Your choices are saved in your browser for next time.
4.6 Filtering the events table
Narrow the Events Table to just the events you’re interested in.
- In list view, use the Event, Age, and Gender dropdowns above the table to narrow the list.
- Click Clear filters to remove them and show all events again.
4.7 Switching between list and matrix view
View events as a list, or as a grid across age and gender.
- Use the List / Matrix toggle in the top bar of the Events Table.
- In Matrix view, events are laid out across age and gender. Click an event to edit or delete it.
4.8 Reordering events
Change the order in which events appear.
- In list view, find the event you want to move.
- Drag the row by its reorder handle to its new position.
- Release the row. ResultsHQ renumbers the events automatically and confirms the move.
4.9 Editing a single event
Change the details of one event.
- Click any cell in the event’s row, or its pencil icon.
- Update the fields, opening Advanced Settings for lane, draft, or IAAF options.
- Click Save changes.
4.10 Editing several events at once
Apply the same change to multiple events in one go.
- Tick the checkboxes for the events you want to change.
- Click Edit Event Details in the top bar of the table.
- Enter values only for the fields you want to change, leave the rest blank.
- Click Save changes.
Only the fields you fill in are applied; anything left blank keeps its current value on each event.
4.11 Deleting events in bulk
Remove several events at once.
- Tick the checkboxes for the events you want to remove.
- Click the Delete button that appears in the top bar.
- Confirm the deletion. Any nominations on those events are removed too.
4.12 Using the Meet Options panel
Adjust meet-wide settings from the Meet Options pop-up.
- Click Meet Options in the meet header. The options open in a pop up form.
- Click on the sections you need and adjust the settings.
- Click Save at the bottom of the panel.
To close the pop up, click on the close button or the “X” icon.
4.13 Viewing a past season
Browse and export data from a previous season.
- On the Meet Calendar, open the Season filter and select a historical season.
- Browse meets, open reports, or export data as needed.
- Click Return to current season in the banner when you’re done.
5. FAQs
How do I switch back to the classic screens?
Each version has a button to switch to the other. On the classic screens, click Try new view to move to the revamped version. On the new screens, click Classic view to switch back. Your choice is remembered for next time.
The Add Event page is gone, where do I add events now?
Adding events now happens on the Manage Meet screen itself. Click + Add More Events in the meet header and a panel opens below the Events Table.
Why is the Edit Event Details button greyed out?
It stays dim until you select at least one event. Tick the checkbox on one or more rows and it becomes active.
Can I change several events at once?
Yes. Select the events you want to change, click Edit Event Details, and enter values only for the fields you want to update. The change is applied across all of the selected events, and any field you leave blank is left unchanged.
An event I want to add isn’t in the list. What do I do?
Use the Go to Event Maintenance link below the event picker to add it to your centre’s event list, then return to the Add Event panel and select it.
What does the Results Entered column show?
It shows how many nominated members have results entered out of the total nominated for that event, for example, 12 / 30. You can switch it on from the Columns list.
How are nominations counted?
The nominations number is the full number of nominated members from the invite, including your home (host) centre, with no age-up applied.
Why can’t I edit anything in a past season?
Past seasons open in read-only mode so historical data can’t be changed by accident. You can still view meets, open reports, and export data. Click Return to current season to go back to editing.
