Introduction
In some centres, events can be run at different locations with varying environmental or measurement conditions. To ensure that Season PBs (Personal Bests) and Centre Records reflect these differences accurately, ResultsHQ supports location-based tracking for each event. This means performances can be maintained separately depending on where they took place—ensuring fairer comparisons and more relevant records.

Why Use Location Codes?
Location codes allow centres to:
Distinguish performances made at different venues.
Maintain separate Season PBs and Records for events run under different locations.
Provide accurate and relevant reporting.
How It Works
When a location is assigned to an event:
PBs and Records are tracked independently for each location.
An athlete may have different Season PBs for the same event based on the location.
Reports and certificates reflect the correct PBs and Records depending on the event location.
Important Note:

The Location-wise Season PB and Records feature is not currently supported on the ResultsHQ mobile app. At this stage, all location-based setup and tracking must be done via the web of the Centre Admin Portal.

Step-by-Step Guidance
1. Create a Location Code
Use location codes to define the various venues used in your meets. These codes are essential for linking performances to the correct place.
Steps:
Step 1: Login to your Centre Admin Portal
Step 2: Click on Meet Management in the left-hand navigation
Step 3: Click on the Calendar icon
Step 4: Click on the Settings dropdown (top-right corner)
Step 5: Select Location / Weight / Measure
Step 6: Enter a 4-character code (e.g., AAAA)
Step 7: Click Save
🔹 Tip: Location codes must be unique and no more than 4 characters.
2. Create a Meet and Assign Locations to Events
Once you’ve defined location codes, assign them to events when creating or editing meets.
Steps:
Step 1: Return to the Calendar screen and create a new meet
Step 2: Add events to the meet (if not already added)
Step 3: For each event:
Click the Edit Event icon
Scroll to the Location dropdown
Select the correct location code (e.g., AAAA or BBBB)
Step 5: Click Save
🔹 Make sure every event has the correct location assigned before meet day.
3. How Location Affects Season PBs and Records
Each location will maintain its own set of Season PBs and Records—even for the same event and athlete.
Example Scenario:
Step 1: Create two meets:
Meet 1 → Assign location AAAA to its events
Meet 2 → Assign location BBBB to its events
Step 2: Athlete sets a PB in the 1000m event at Meet 1 (AAAA)
This PB will only apply to future events held at location AAAA
Step 3: In Meet 2 (location BBBB), the same athlete runs the same event
The PB is not carried over—it starts a separate PB history for BBBB
Step 4: In Meet 3, location AAAA is used again
If the athlete runs a faster 1000m here, the Season PB for location AAAA is updated
🔹 Centre Records behave the same way: records are tracked separately per location.
4. Generate Reports and Certificates by Location
Reports automatically reflect the PBs and Records based on their respective locations.
Steps:
Step 1: Navigate to the Reports tab
Step 2: Select the relevant report type:
Season PB List
Results Report
Season PB Certificate
Step 3: Choose the meet or athlete
Step 4: Generate the report
🔹 You will see the PB or Record linked to the specific location used in the selected meet.
📌 Note on Location Usage (Optional Feature)
Assigning a location to an event is optional.

If no location is set for an event:
Season PBs and Centre Records will be tracked as normal, but without location-based separation.
The system will treat the event as part of a general record stream.
PBs and Records will update based solely on the event name and meet, with no location filtering applied.

This means:
A PB achieved in one meet will be used across all other events without location codes.
Records will also be shared across all meets unless location codes are introduced to segment them.
FAQs
❓ Is it mandatory to assign a location to events?
No. Assigning a location is optional. If no location is selected, Season PBs and Centre Records are maintained normally—based on event and meet—but without location-based separation.
❓ What happens if I don’t set a location for my events?
PBs and Records will be tracked without any location filtering. The system will treat all events with no location assigned as part of a single group—so Season PBs and Centre Records will carry across all such events.
❓ Can the same event have different Season PBs at different locations?
Yes. If events are assigned different location codes, each location maintains its own set of Season PBs and Centre Records—even for the same event and athlete.
❓ Can an athlete have more than one Season PB for the same event?
Yes, if the event is run at different locations. Each location will store its own PB for the athlete in that event. If no location is set, then only one PB is maintained across all meets.
❓ If I use the same location code across multiple meets, will PBs and Records carry over?
Yes. PBs and Records are linked to both the event and its assigned location. Using the same location code in different meets ensures continuity in performance tracking for that venue.
❓ Can I see location-specific PBs and Records in reports?
Yes. Reports like the Season PB List, Results Report, and PB Certificates will reflect the PBs and Records based on the event’s assigned location.
❓ Can I combine PBs across locations into one?
No. ResultsHQ keeps PBs and Records separate for each location. This is intentional to preserve the accuracy and fairness of performance tracking across varied venues.
